Programme Assistant

Job Purpose:

As the key administrative support to the Deputy Representative and Humanitarian Programme Coordinator, you will be responsible for maintaining full confidentiality, upholding protocol, managing information flow and following up on deadlines and commitments.  You will also facilitate knowledge building and management; provide logistical support;  support in the monitoring of project implementation and support in the follow up on recommendations. 

You would be responsible for:

  • Presentation of background information for formulation of country programme, draft project documents, work plans, budgets, proposals on implementation arrangements.
  • In close liaison with the direct reports reviews projects financial reports for projects and maintenance of internal expenditure control systems for projects, ensuring that project transactions are accurately posted in the respective system     S, and supports the implementation of audit recommendations for projects.  
  • Report on bimonthly  unit meeting         
  • Report on unit monthly travel status absence, procurement and delivery status of equipment and material procured by the  unit.    
  • Applies established systems and procedures and assists in the creation of substantive knowledge by supporting knowledge compilation and analyzing information in the subject areas of UNFPA Assistant to Government.  
  • Provides logical support to programmes and projects by coordinating review meetings and other project related workshops, conferences and events. In close collaboration with the Procurement Associate and Finance and Administration Associate, trains and guides project personnel and staff on national execution and programme policies and procedures. 
  • Contribute to the creation and sharing of knowledge by supporting the synthesis and documenting of findings and lessons learnt success stories and best practices, strategies and approaches of the country office and drafting relevant materials for dissemination. 
  • Supports the advocacy of programme portfolio by compiling and synthesizing relevant background material for use in discussion and public events. 
  • In close liaison with the Deputy Rep and Humanitarian programme coordinator support the activities of programme portfolio by establishing and maintaining network of donor and public information contacts, provides assistance in organization and conducting donor meetings and public information event.   
  • Under the guidance of the Deputy Rep and Humanitarian programme coordinator, provides support to the programme Officers in the creation of projects in the system     , preparation of required budget revisions, revision of project awards and project status, determination of utilized funds, operational and financial closure of projects.
  • Performs the general user profile role in ATLASand Quantum     
  • Performs other related activities   as assigned by the supervisor
  • Qualifications and Experience: 

 

Education:  

  • Completed Secondary Level Education required. First level university degree desirable.

 

Knowledge and Experience: 

  • Five years of relevant experience in administration.
  • Some experience in research assistance.
  • Strong interpersonal and organisational skills.
  • Proficiency in current office software applications and corporate IT financial systems.
  • Good written and verbal communication skills.

 

Languages: 

  • Fluency in English; knowledge of other official UN languages, preferably French and/or Spanish, is desirable.Values:
